Before you submit an enquiry

Share only the business contact details and project outline we need to respond. Arrange confidentiality terms and an appropriate transfer method before sending sensitive or restricted material.

Scope and responsibility

OakAssist ("we", "us", or "our") is responsible as data controller for personal information collected through this website and related business enquiries. Our contact address is 8a Oje Imianvan Street, Julie Estate, Oregun, Ikeja, Lagos, Nigeria. This notice explains that processing under the Nigeria Data Protection Act 2023 and other applicable data protection requirements.

Client projects, training platforms, employee records, recruitment, and information processed on a client's instructions may be covered by separate notices and written agreements. Those documents govern the relevant engagement, subject to applicable law. This business website is intended for adults; please do not submit children's personal information through the enquiry form.

Information we collect

  • Enquiry details: your name, work email, company, optional telephone number, selected service, message, and consent selection. We also record a submission reference and timestamps.
  • Business correspondence: information you provide during follow-up, together with internal notes and the status of your enquiry.
  • Technical information: website infrastructure may record IP addresses, browser and device details, requested pages, request times, errors, and security events in operational logs.
  • Privacy correspondence: your request, information reasonably needed to verify your identity or authority, and our response.

Required form fields allow us to assess and respond to an enquiry. If you choose not to provide them, the form cannot be submitted; you can contact us directly instead. Please provide only information relevant to your request.

Purposes and lawful bases

  • Responding to enquiries: we use the consent you give on the form to assess your request and communicate with you. Where applicable, we also process information to take steps you request before entering a contract or to perform a contract with you.
  • Operating and protecting our business: we rely on legitimate interests to administer correspondence, maintain the website, prevent spam and misuse, investigate incidents, and establish, exercise, or defend legal claims, where those interests are not overridden by your rights and interests.
  • Meeting legal duties: we process information where necessary to comply with applicable legal obligations and lawful regulatory or court requirements.

Submitting an enquiry does not subscribe you to unrelated marketing. Visiting this website is not, by itself, consent to processing that requires consent. Where a new purpose requires a further notice or permission, we will provide or obtain it before that processing.

Your submissions

You are responsible for the accuracy of information you submit and for having a lawful basis and authority to share information about another person or organisation. Do not impersonate another person, submit unlawful material, or disclose information in breach of a contractual, professional, or legal duty.

Do not send passwords, payment-card details, identity documents, medical or biometric records, trade secrets, security credentials, restricted facility information, or confidential project files through the public enquiry form. If a project requires sensitive material, first agree an appropriate transfer method and any necessary confidentiality and data processing terms with us.

An unsolicited submission does not, by itself, create a confidentiality agreement, professional engagement, obligation to accept work, or licence to your intellectual property beyond what is needed to handle the enquiry. We may decline an enquiry or restrict, remove, or retain inappropriate submissions as reasonably necessary for security, legal duties, or legal claims. Our statutory duties concerning personal information continue to apply.

Disclosure and service providers

Enquiries are held in our private content management system and are available to authorised OakAssist staff. They are not published on the website. We do not sell enquiry information or share it for third-party advertising.

We may disclose information, where necessary for the purposes in this notice, to hosting, database, storage, email, IT support, and security providers; professional advisers, insurers, and auditors; and courts, regulators, law enforcement, or other parties where disclosure is legally required or lawfully necessary to protect rights, investigate misuse, or defend claims. Providers acting as processors must handle information under appropriate instructions, confidentiality, and data protection obligations.

A proposed merger, restructuring, financing, or transfer of our business may require limited disclosure to advisers or a prospective successor, subject to a lawful basis and appropriate confidentiality and data protection safeguards. Disclosure is limited to what is reasonably necessary for the relevant purpose.

International processing

Depending on the providers used, information may be stored or accessed outside Nigeria. Any such transfer must meet applicable Nigerian data protection requirements, including adequate protection or another legally permitted transfer basis and any required safeguards. The enquiry checkbox is not blanket consent to unrestricted international transfers. Contact us for information about the destinations and safeguards relevant to your information.

Retention

We retain information only for as long as reasonably necessary for the purpose for which it was collected and any lawful continuing purpose. The relevant period depends on the enquiry's status, the ongoing business relationship, applicable record-keeping duties, and the need to resolve complaints or establish, exercise, or defend legal claims. Contact us for the retention period applicable to your record.

A deletion request does not require us to destroy information that must lawfully be preserved. Relevant records may be retained during a dispute, investigation, or legal hold, with use limited to that purpose. When information is no longer needed, it should be deleted or anonymised. Backup copies may remain until replaced through the applicable backup cycle and must not be used for unrelated purposes.

Cookies and automated checks

The public website currently uses no advertising or analytics cookies. The staff content studio uses authentication cookies to maintain authorised sessions. Browser controls can block or remove cookies, although doing so may prevent staff sign-in.

Enquiry submissions undergo automated validation and spam checks, including limits on repeated submissions. These checks can reject or limit a submission; contact us directly if a genuine enquiry is affected. We do not use website enquiry information for profiling or solely automated decisions producing legal or similarly significant effects on individuals.

Security and external services

Access restrictions, staff authentication, and submission controls help protect information held by the website. No internet transmission, email service, or storage system can be guaranteed completely secure, error-free, or continuously available. Please take reasonable care when choosing what to send and report any suspected exposure to our contact below. We will assess incidents and make notifications where required by applicable law.

External websites and services have their own privacy practices. Once you follow an external link, review the recipient's notice before sharing information. A link does not constitute an endorsement or a guarantee by OakAssist of that service's security, availability, or conduct. This does not remove our responsibilities for providers processing information on our behalf.

Your rights and complaints

Subject to applicable law and its conditions, you may request access to your personal information, correction, erasure, restriction of processing, or a portable copy; object to processing; and withdraw consent at any time. Withdrawal does not affect the lawfulness of earlier processing or processing that can lawfully continue on a separate basis. You may also exercise applicable rights concerning automated decision-making and object to direct marketing.

Email [email protected] with the subject "Privacy request", describing your request and the enquiry or correspondence concerned. We may ask for proportionate information to verify your identity and, for a representative, their authority. Please do not send identity documents unless we ask for them and arrange an appropriate channel. We respond within applicable legal time limits and explain any lawful restriction or refusal, including where another person's rights, legal privilege, or mandatory retention requirements apply.

You may raise a privacy concern with us using the same contact. You also have the right to complain to the Nigeria Data Protection Commission or another competent supervisory authority where applicable. You do not have to obtain our permission or waive other available remedies to make a complaint.

Website and engagement limitations

Website content is general information. It is not a binding offer, project specification, legal or regulatory advice, or a guarantee of operational, training, safety, certification, or compliance outcomes. An enquiry, acknowledgement, or preliminary discussion does not establish a client relationship or commit OakAssist to a scope, delivery date, price, or result. A project requires a separately agreed written engagement with an authorised representative.

To the fullest extent permitted by applicable law, website information is provided without warranties of completeness, accuracy, fitness for a particular purpose, or uninterrupted availability. OakAssist disclaims liability for indirect or consequential loss arising from reliance on general website information. Responsibilities and any agreed liability limits for paid services are set out in the relevant written agreement.

Nothing in this notice excludes or limits liability that cannot lawfully be excluded or limited, reduces our statutory data protection obligations, or waives your mandatory rights or remedies.

Updates and contact

We may revise this notice to reflect changes in the website, our processing, or legal requirements. The date above identifies the current version. Material changes will be brought to your attention where required, and fresh consent will be sought where necessary. A policy update does not retrospectively authorise an otherwise unlawful use of your information.
